Retreat Committee Charter

Goals

In accordance with the KCC Vision Statement, to enable people to grow in their understanding of the dharma, by facilitating and promoting KCC-sponsored retreats.

To communicate logistical aspects of retreat to participants and potential participants.

To cooperate with the resident Lama and Program Council, as well as other committees, regarding ongoing retreats.

To provide support for Retreat Coordinators, On-Site Retreat Managers and Retreat Registrars (and any others involved in organizing retreats).

To communicate skillfully with various retreat venues, other public agencies, and potential participants, etc… as we create together a well managed retreat experience.

Membership

Members will serve a minimum of one year.

Leadership for meetings will be shared.

Meetings will be held once per month.

Cross training will be encouraged.

Committee Roles include (but are not limited to) Chair, Co-Chair, Archivist.

The Chair acts as a liaison with other KCC committees.

Responsibilities

Ensure that organizational details of KCC-sponsored retreats are taken care of (organization of retreat prior, during and after retreat).

Communicate with the Program Council Liaison, and others, as needed regarding logistical aspects of hosting retreats (e.g., description, prerequisites, cost, dates, scheduling, refund/cancellation policy, maximum number of participants, meals, facilities, teachers, etc.).

Ensure that the positions of Retreat Coordinator, Retreat Registrar and Onsite Retreat Manager, and other volunteers are filled, that those filling those positions understand their responsibilities and which body/committee they are accountable to.

Complete a thorough evaluation after each retreat - which includes a financial breakdown of the retreat income and expenses, registration details, and feedback from retreatants and retreat organizers - and deliver this report to the Program Council and all retreat organizers.

Maintain documentation regarding all of the above - and develop a means of archiving such information. Store information at KCC for easy access to future organizers.
